The Problem
Zapier costs were scaling out of control as volume grew. Complex multi-step zaps were hitting task limits and failing silently. The team had no visibility into what was breaking or why, and couldn't afford to keep paying per-task at production volume.
The Solution
Audited all 28 zaps, categorized by complexity and failure risk. Rebuilt each in n8n with proper error branches, retry logic, and parallel execution where safe. Deployed on a VPS with Slack alerting for any failures. Full migration completed with zero downtime — new n8n workflows ran in parallel before cutover.
